Our Terms & Conditions

Terms & Conditions for hire of equipment supplied by OSE Extras

The following terms will set forth an agreement between Old School Entertainment Extras ("OSE Extras") and the CLIENT as detailed on the booking confirmation form for dance floor and/or photo booth hire services for an event taking place at the venue also detailed on the booking confirmation form. This written contract sets forth the full, written intention of both parties and supersedes all other written and/or oral agreements between the parties. Once signed by both parties, the agreement will become legally binding on both parties.

For Dance Floor hire, the Service Period will be for the duration of the event as detailed on the booking form. For Photo Booth hire, the Service Period will be the start time to end time agreed between OSE Extras and the CLIENT which must be inside the start & end times of the event.
OSE Extras will ensure that the photo booth will be operational for a minimum of 80% of this time during the agreed service period. The CLIENT agrees that use of the photo booth may need to be interrupted for maintenance which includes, but is not limited to, changing paper, equipment cleaning, maintaining prop table etc. and OSE may add additionanl time to the Service Period if we are not able to provide the agreed 80% availability.
In the event OSE Extras is unable to supply a working photo booth for at least 80% of the agreed Service Period and except in the case of forced closure due to damage or guest behaviour as detailed below, The CLIENT shall be refunded a portion of the amount charged, based on the amount of service received. Refunds in this instance will be considered as a portion of the rate of the extra chargeable hourly rates and will be paid within a period of 14 days via BACs.
Unless by prior agreement, and subject to an "idle time" charge, we will arrive approximately 60-90 minutes before the Service Period begins in order to set up the equipment. Set up & pack down time will not be included in the agreed Service Period. The CLIENT will ensure that OSE Extras have access to the venue & assigned area at least 90 minutes prior to the start of the agreed Service Period and for approximately 60 minutes after the conclusion of the Service Period for take down and removal of our equipment.

A non-refundable deposit of £30 is due at the time of booking and the remaining amount is due in full no later than 1 day prior to your event if paying by BACS or on arrival at the venue if paying cash with OSE Extras prior agreement. If payment is not received by this date, The CLIENT may be subject to a 10% late penalty fee or cancellation at OSE Extras discretion. For events less than 14 days from initial booking, the full fee is payable immediately.
An additional £50 security deposit is also required with the final payment. This is to cover any potential damage to our equipment. This security deposit will be refunded in full within 7 days of the event once we confirm that no damage (other than fair wear & tear) has occured.
The CLIENT agrees that in addition to any verbal agreement between The CLIENT and OSE Extras, we will not secure your date on our calendar until the deposit is received and the signed contract is returned.
For photo booth hire, The CLIENT may request an extension to the agreed service period during the event and, at the sole discretion of OSE Extras, the extended time will be accepted and billed to The CLIENT at an hourly rate of £75 per hour. The charge for any additional service time must be paid in full, in cash, before additional hours are provided. A full receipt will be provided to The CLIENT at this time.

The CLIENT will arrange for an appropriate area for the photo booth to be set up at their selected venue. The required space must be level and on a hard floor or carpet. The photo booth and props require an area approximately 3.5m by 2.5m with a minimum height clearance of 2.5m. OSE Extras will not accept responsibility if they arrive at the venue to set up and there is insufficient space or the allocated space is not suitable and they are unable to set up. A “Props table” will be provided by OSE Extras but if The CLIENT has selected a specific colour scheme for their event and they want the table covered, it is their responsibility to provide two table linens that coordinate with said colour scheme.
The CLIENT is responsible for ensuring power is available for the photo booth, (standard 240V, 13 amps within 3 Meters of desired set-up area). All electrical sockets must adhere to current electrical safety standards. OSE Extras will not be held liable for any damages, injuries or delays that occur as a result of failure to comply with these provisions.
Sufficient lighting is needed in the vicinity of the photo booth for health & safety reasons and The CLIENT will be responsible for ensuring that the lighting is adequate.
Please note: If power is to be provided by a generator The CLIENT MUST advise OSE Extras in advance.

The CLIENT acknowledges that they shall be held liable for any damage or loss to the OSE Extras equipment caused by any misuse of such equipment by The CLIENT or their guests. If the cost of repair or replacement exceeds the security deposit detailed above, The CLIENT agrees that they shall be liable for the full cost of any repair or replacement.
For Photo Booths, OSE Extras will provide an attended service throughout the service period and the attendant will take appropriate actions to prevent misuse or damage, including preventing guests from using our equipment, however this will not remove the liability of The CLIENT.
OSE Extras reserve the right to close the booth at any time if the staff feel threatened or the guests are behaving in an abusive or threatening manner.

Any request for a date change must be made in writing (via e-mail) at least 30 calendar days prior to the original event date. Date change is subject to photo booth availability and receipt of a new Service Contract. If there is no availability for the alternate date, the deposit shall be forfeited and event cancelled. Any cancellation occurring less than 14 calendar days prior to the event date shall incur a 50% cancellation fee.

The CLIENT grants to OSE Extras and their representatives the irrevocable and unrestricted right to use and publish photographs of any persons that wish to use the equipment or in which they may be included for editorial, trade, advertising, and any other purpose and in any manner and medium and to alter and composite the same without restriction and without prior inspection or approval. The CLIENT hereby releases OSE Extras and their representatives from any and all claims and liability relating to the future use of said media.

The CLIENT accepts and will assume full responsibility for any claims that may arise through the event which are unrelated to the use of OSE Extras equipment and service and are not covered by OSE Extras Public Liability Insurance policy. OSE Extras will not be held liable for any injuries, loss or damages to any person or parties present at The CLIENT's event which are not attributed to the use of their equipment.

If any provision of these terms shall be unlawful, void, or for any reason unenforceable under law then that provision, or portion thereof, shall be deemed separate from the rest of this contract and shall not affect the validity and enforceability of any remaining provisions, or portions thereof.
The CLIENT will be confirm that they have read and agree to the Terms & Conditions outlined here on their booking confirmation form.

GDPR & Privacy Policy Statement

Old School Entertainment Extras are required by the General Data Protection Regulation 2018 (GDPR) to provide a clear policy statement regarding collecting and storing personal information with respect to all clients. Clients will be asked to confirm that they have read this policy statement and that they agree to OSE Extras use of personal information when they complete their booking form.

The only personal information we collect will be our potential clients' full names, postal address, contact telephone number & email address.
We collect this information so that we can draw up a contract between the client and OSE Extras for the provision of hire services
The information given to us by clients will be kept as a digital form on our own computer system and also entered on our planning portal hosted by DJEventPlanner who have their own GDPR policy statement here.
If a potential client decides not to book our services, their details will be removed immediately.
Once a client has confirmed a booking, their details will be retained as required by law for accounting purposes only.
